When you interact with our website through our submission forms, we process the following categories of personal data:

• Application Requests: Email address (to process and review programme eligibility and send professional profile questionnaire details).
• Contact Inquiries: Full name, corporate email address, company name, and the text of your message (to evaluate and reply to inquiries and consultation requests).
• Professional Profile Questionnaire: Full name, corporate email address, LinkedIn profile URL, organization name, organization size, job title/role, AI responsibility/mandate status, AI adoption state, industry regulation risk level, and your primary expectations or challenges (to evaluate applicant eligibility, onboarding process, and customize the strategic 1:1 consultation sessions).

This data is processed locally on our secure web server and is only forwarded to our corporate email inbox (info@aiofficeracademy.eu) using secure mail transmission protocols. We do not use third-party form-processing services.

3. Legal Basis for Processing

We process your data based on the following legal bases:

• Pre-contractual measures (GDPR Article 6(1)(b)): To process your initial application request, review eligibility, and prepare for enrollment in our programs.
• Our legitimate interests (GDPR Article 6(1)(f)): To reply to business inquiries and consultation requests submitted through our contact form.
• Consent (GDPR Article 6(1)(a)): For processing your answers submitted via the professional profile questionnaire for application assessment and onboarding evaluation. You have the right to withdraw your consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.

4. Data Retention

We retain your personal data only as long as necessary:

• For applications: Until the completion of the enrollment process or profile review, up to a maximum of 12 months, unless you enroll in the course (in which case a student contract applies).
• For questionnaire submissions: Until the completion of the enrollment assessment, onboarding, and coordinating the consultation sessions, up to a maximum of 12 months, or until you withdraw your consent, whichever comes first.
• For contact inquiries: For the duration of the communication and follow-up consultation period, up to a maximum of 12 months from the last interaction, unless stored longer to protect legitimate legal claims.

5. Data Sharing and Transfers

Your personal data is handled confidentially. We do not share, sell, lease, or transfer your personal data to external third parties. All processing happens locally on web hosting servers located within the European Economic Area (EEA), ensuring compliance with GDPR transfer requirements.

6. Your Rights under GDPR

You have the following rights regarding our processing of your personal data:

• The right to request access to and rectification or erasure of your personal data.
• The right to request restriction of processing or to object to processing.
• The right to data portability.
